Here’s a rundown of the updates/changes we’ve made to the software in September 2024:
This month, we made changes to the Action Items feature, and these changes were based on some feedback from one of our MSO clients. To best explain the changes we made, I think it would be easiest to first lay out the problems they were experiencing:
- Problem: When someone comments on an Action Item and it requires the assistance of another user, there is no way to tag or notify that user.
- Problem: When someone changes the status of an Action Item to “In Review”, there’s no way to notify the person who needs to review it. This has to take place outside of Simplifya.
- Problem: When an Action Item is marked as “Complete”, I want to know what was done to fix the problem.
- Problem: We want more data points in the Action Item data export for each action item.
Ok, so now for the solutions:
- Action Items: when commenting on an Action Item, the commenter has the option to notify other users
When other users are selected to be notified, they’ll receive an immediate email notification that includes the relevant details about the action item and the audit it’s from, along with the comment that was just added.
- Action Items: Assignees must now enter an explanation when marking an Action Item as “Complete”
Now, when a user goes to mark an Action Item as “Complete”, a modal opens where they will be required to enter an explanation about what they did to fix the problem. The user will also have the option to notify other users, which will send an automated email notification with all pertinent info.
- Action Items: Assignees must now notify another user when marking an Action Item as “In Review”
Now, when a user goes to mark an Action Item as “In Review”, a modal opens where they will be required to enter an explanation about what they did to fix the problem, and they’ll be required to select a user(s) to notify.
- Action Items: More data points added to the Action Item Data Export feature
We’ve added a few more data points to this export. One of our MSO clients used this export to create their own internal reports, and they were doing a lot of their own legwork to create reports for each license type in each state. We’ve added the following:- Location City
- Location State
- License type(s) – This will be the actual license name from the state (e.g. “Cultivator – Specialty Mixed-Light (Adult-use)”) that the audit question pertains to.
- License Activity – This will be one of 4 activity types that applies to the license (Cultivation, Retail, Manufacturing, or Distribution).
- “Completion Note” – This is the note that was entered when the user marked the Action Item as “Complete”.
